Gartner forecasts that soon its use will become the norm in most of technology companies (and not only!). Why is it especially popular in the IT industry? What are its advantages? What types of employee outsourcing are worth knowing?

What is employee outsourcing in the IT industry?

To begin with, let’s explain what this term really means. Outsourcing is a business practice of hiring an entity outside a given company to provide services or manufacture goods, which was traditionally performed on its own by employees working inside a given company.

It is most often used as a method to reduce business costs, such as expenses associated with the purchase of necessary hardware or software. Outsourcing also helps companies to focus on the key aspects of business activity, transferring part of the operations to external organizations. Moreover, its use minimizes the time and costs associated with recruiting and onboarding new employees.

One of the main reasons why outsourcing is particularly attractive for IT entities is the need to engage qualified specialists for the time of software development and testing. Simply said – the programmers can be hired only for the time when they are necessary. Additionally, thanks to the use of outsourcing, companies can be sure that a given project is in the hands of the right people who have the appropriate level of competence in their field, e.g. coding in a given programming language.

This is a positive phenomenon also for the outsourced programmers, as they are given the opportunity to co-create a greater number of various projects. This is related to the development of their skills and reduces the risk of burnout, which is a common phenomenon when specialists work for a long time on the same project. In addition, many people in this industry have their own business, i.e. work in the form of B2B, which in the case of outsourcing is a favorable circumstance.

Forms of employee outsourcing from IT industry

Staff augumentation
One of the most popular types of outsourcing of employees in the IT sector is body leasing. It means contracting a specialist employed by the company for a certain period of time to implement a project in another company, obviously for an appropriate fee. For the contracting company, this is an ideal way to quickly obtain human resources for the IT department without having to hire a new person. As for the outsourcing company – it allows for rational management of its resources.
How does body leasing look like in reality? Usually, a company wishing to contract an employee reports to the outsourcing company and an agreement is signed between them, allowing for placing orders for programmers. Next, the contracting company specifies its needs for an employee for a given project and defines the timeframe for such order. The next step should be the assignment of a Project Manager (PM for short) responsible for a given project, who gets acquainted with it, selects a specialist ideal for it, plans his/her work and then supervises it. If so happens that the contracted programmer is not able to complete the tasks assigned to them, the PM replaces them with another specialist from the given area. At the end of each month or at the end of the project (depending on the content of the signed agreement) the contracting company sends a detailed settlement to the outsourcing company.

Team leasing
One could say that team leasing is the same as body leasing, only it concerns contracting whole teams of programmers. Usually these are people who have already worked together before, therefore, this form of outsourcing minimizes the risk of „miscommunication” of people working together on a given project and disorganization of their work. The functioning of team leasing is usually similar to body leasing described above. The advantages of this solution are that the client strictly controls the scope and way of realization of the project, significantly saves their precious time and, additionally, gains know-how in the scope of the newest IT technologies, at the same time having great influence on the course of the processes.

Managed Services
This is a continuous provision of a service or process by an external company. The objectives of using this type of outsourcing are to improve efficiency, reduce and control operating costs while maintaining high quality of the services received, as well as higher level of security – aspecialized company provides appropriate conditions for execution and takes care of data access protection. The introduction of Managed Services is particularly welcome at the stage of implementing a new IT system. The advantage of this solution are, of course, time saving and guarantee of the highest quality of executed projects, as well as reliability in testing solutions and application of appropriate procedures.

Regatta for the RITS Cup

t the turn of August and September, the Regatta for the RITS Cup took place in Ogonki in Masuria. There was an opportunity to sail, kayak, laugh at the stand-up, but most of all integrate after many months of remote work.

There was an opportunity to sail, kayak, laugh at the stand-up, but most of all integrate after many months of remote work. At the turn of August and September, the Regatta for the RITS Cup was held in Ogonki in Masuria, which was won by all those who participated in them. For many of us, it was the first chance to see each other in real life.

This year’s integration meeting started with a regatta. Four teams took part in the competition, trained by the Polish catamaran champion, Jacek Turczynowicz, who is a certified instructor and trainer. The winners were: Natalia Wasiak, Aleksandra Rosikiewicz, Monika Sawicka, who recruit specialists from Business Unit 2 on a daily basis under the leadership of Ewa Lacombe. Although the fierce fight lasted until the last second, no one was in a good mood. Even those who had the opportunity to sail for the first time in their lives … There are those among us who will remember this first time on sails for many years;) Including our master…

There was also a lot of excitement on the kayaks. It was ambitious! From Lake Stręgiel we sailed Sapina to Lake Święcajty, and because our team included kayak pirates who could disrupt each course, it was impossible to get bored – especially when we were kayaking our companion, the right side was wrong with the left side. We did what we could – that is, at the highest level.

The term „body leasing” gained a completely new meaning for us during this trip… And all thanks to the performance of the stand-up artist Darek Gadowski, who presented his bonus material during the evening. The watchword: How to do well in an industry that has not been overwhelmed by the pandemic!

I would like to thank you for your presence and involvement in the integration event. It is very important for us that in such a large company, during remote work, we create opportunities for employees from different locations to meet and get to know the Masurian lake better while having fun together. sailing, were a great opportunity to strengthen ties and trust in teams and the entire company, at the same time giving the opportunity to meet people who so far only knew each other from e-mails and conversations on Teamsach. Windows to Liberia

Liberia - a small country in the western part of Africa with a population of just over 4.5 million. It differs from European countries in many respects, including there are only two seasons: dry and rainy. Our employee, Radosław Szczęsny, will set off on a mission in July to help on the spot and teach computer science at the same time. It will also purchase the necessary equipment.

Let’s start from the beginning, i.e. how did it happen that the idea of going on a mission came about? 

We operate in the missionary volunteering program „Młodzi świat” which has been operating in Wrocław for over 10 years. It is responsible for helping outposts and preparing people to go on missions. Throughout history, we managed to send over 60 people, which is a very nice result. The entire preparation process takes 2 years. During this time, we gain the necessary experience and learn about the countries to which we are to go. We get to know these institutions. HERE we are not talking only about Africa, because our auxiliary facilities will find, for example, in Asia ( Mongolia and , Indi s). There is one facility in Brazil, so there are a lot of these places. I have been working with the Salesians since I was a child. First I went to the oratory, then I became an animator and somewhere further it turned into such a greater willingness to help. Let us not hide that we are doing very well in Poland. We live well, even during the coronavirus. However, there are countries that are more disadvantaged. They don’t have such possibilities, so that’s why the idea is to fly and give something back.

Why Liberia? Did you suggest this place?

It looks like we, as volunteers, fill out an application for a mission and in this application we can write where we would like to fly. However, in the end, we agree to where we fly because it is chosen by management. Honestly, it doesn’t matter to me whether I fly to Liberia or Brazil. Everywhere in these countries need help and that is why I am very glad that I’m going on my s IT. I will try to do my best. Whether Liberia, Brazil or other such places are countries that have much worse living conditions than we do, so they need help everywhere.

You are definitely prepared with the knowledge of the country you are going to. Can you tell us more about the place you are going to? 

Liberia has a very beautiful history. It is a country founded by slaves from America who went there. Therefore, their flag is very similar to the American flag. How they are doing today is amazing. Until recently Liberia suffered from a very large scourge of Ebola, which severely devastated the country. Also 2 civil wars that took place a dozen or so years ago . And the fact that Liberia is still developing well after all, and that it is also one of the better-developing African countries, is amazing to me. Nevertheless, the living conditions, these standards, are very limited. To illustrate for us as people who work in the IT industry: there 20 GB package with internet of that costs $ 40. For comparison, the teacher’s salary ranges from $ 60 to $ 80 a month, so what are the small salaries if we take this conversion rate, and how hard life is there. This is just one example in terms of IT, and in the Drinking Tap I go to, there is not even any store. There, once a week, on Wednesdays, there is a market where people gather and sell what they have collected with their own hands.  Speaking of Tap drinking , it is a small town with 10,000 inhabitants situated in the bush. It consists only of tiny houses in the middle of the forest. 

Can anyone fly to Liberia? What are the legal restrictions, vaccines to be able to go to this country? 

There are visas. This is probably the biggest legal restriction. Of course, we must also remember about vaccinations. It is known that we are going to Africa. There are many diseases for which you need to vaccinate, so we also have something like this before departure. Now it is also very important to monitor the spread of the coronavirus, because, however, the scale of the disease results in the imposition or loosening of warnings. In our country in Europe, we have a lot of prohibitions and orders related to Covid. There are not so many restrictions in Africa, so to be honest, it is easier to fly to Liberia than to come back.   

To Liber and you’re not going empty-handed. what are you taking with you?  

What is important in our project is the additional purchase of equipment for Tap pi you, because we will be there together with Kuba, the volunteer with whom I am leaving, to teach children about computer science. At the moment, there are three working computers in Tap Five , and some classes have 45 people. It is easy to calculate that one computer is used by 15 people. With us it is unimaginable because some people have two or three computers for one person. What is very important to us is collecting money for the purchase of equipment. Due to the customs duty, we will not be able to transport 10 laptops. Rather, we plan to take two laptops per person, and we want to buy the rest of the laptops. We do not want to do any collection of used equipment because we should also remember that in Poland we have IT services every now and then that will help us fix the computer. I also often have some knowledge myself and we are able to restore some broken functions. In Africa, they don’t know as much about computers, about repairing them, and about maintaining them as we do. Therefore, we would like to buy in the capital Monr ovii , to which we will go just at the very beginning, laptops. Thanks to this, the computers will be under warranty and even if they break, it will be easier to repair them on the spot, despite the fact that Tap p ta and the capital are 8 hours away. Undoubtedly, the purchase of such equipment is already a great help for these people, because thanks to this they will have access to information.           

What can we make a real contribution to the purchase of laptops on the other side of the world?

Together with Kuba we have a fanpage on Facebook „Windows to Liberia”, because that’s the name of our project. On the one hand, Windows from the English language is a window to Liberia, on the other hand, almost everyone associates Windows with a computer because it is a type of software. We have a screenshot created there that you can contribute to. In addition, our Salesian missionary volunteering also has the option of donating for a given purpose on its website, which I also strongly encourage.   

When exactly are you planning your trip? 

We fly in at the end of July and come back in early September. It is a month and a half of work and help. Of course, COVID is a threat and we also take that into account.

Are you just, humanly, a bit afraid of this outlet? However, it is the other end of the world, a different culture, and you can never be sure what will happen to us.  

Fear is always there and we have to say it openly, which is why I also pray for it, but on the other hand, very strongly and maybe even more dominant is the willingness to help that combats this fear. I know that I have a good life, a lot of good things have happened to me and it is worth sharing it with those who are not so lucky. I know it will be hard, you know, because these will not be the same conditions as in Poland. The most beautiful thing about it is that to be a volunteer all you need is a willingness to help. We don’t always have to go on a mission. Sometimes, and even more, financial help is needed. We also ask you for this help and encourage you to support our departure.

Are you struggling with the problem of third-line technical support of the ERP system that is on board your company? The costs are horrendous, the waiting time for a response is very long, and the fixes do not meet expectations ... Although it may seem that only an ERP supplier can provide a third line of technical support, this is not true. The market abhors a vacuum, which is why an alternative has appeared on the market in this case. Fast, professional service, cheaper by at least 50%, which comes from the USA, is now available to companies also operating in Poland.

Are you struggling with the problem of third-line technical support of the ERP system that is on board your company? The costs are horrendous, the waiting time for a response is very long, and the fixes do not meet expectations … Although it may seem that only an ERP supplier can provide a third line of technical support, this is not true. The market abhors a vacuum, which is why an alternative has appeared on the market in this case. Fast, professional service, cheaper by at least 50%, which comes from the USA, is now available to companies also operating in Poland.

The first cost that should be taken into account after implementing an ERP system is the subscription to the program. Usually it costs about a dozen or so percent of the value of ERP licenses owned. Regular subscription purchase guarantees that this percentage is kept constant. However, if this regularity is not kept, the percentage for the subscription will increase.

The second cost that should be budgeted after completion of the implementation is the cost of service care. Software vendors have three lines of technical support in their services. The first one covers the receipt, resolution and monitoring of IT system notifications. In the second line, consultants deal with more complex problems related to the company’s applications and systems, including software installation and repair and configuration of workstations. In the third line, the administrators of individual applications deal with repairing defects noticed and reported by users, cooperating in this area with programmers. And it is the third line of support that can be the most problematic for software users because it concerns errors in the system code. On the one hand, the user is not able to deal with such a problem on his own, on the other hand, the waiting time for contact with the manufacturer is sometimes long, and the solution to the problem often does not meet expectations. As a result, you have to wait for weeks for corrections, while paying the regular amounts of the ERP provider.

The bitter truth about service costs

– The problem stems from the fact that software vendors do not guarantee the level of services provided, i.e. SLA (Service Level Agreement) for solving our problems – this is what Marcin Stanisławski, vice president of the board at Relyon Alternative Support, about the problems regarding IT service from software suppliers. For several months, it has been offering the service of implementing an alternative third line of support on the Polish market in cooperation with the American company Rimini Street. – If there is any major bug, vendors such as SAP or Oracle do not ensure that the program code is fixed within the specified time. You just have to wait for someone to take care of our problem … Software vendors simply don’t have a dedicated engineer assigned to a customer. Support is provided by specialists from India, so the quality of their services is not at the highest level. And all this at enormous costs, which is not reflected in the quality of service. The Rimini Street website, which has also been available to companies in Poland for several months, is a real and much cheaper alternative. Service costs are assumed to be lower by at least 50%.

American alternative already in Poland

Rimini Street is an American company, fully specialized in providing third-line support for ERP systems from suppliers such as SAP, Oracle or Microsoft. It provides its services to clients all over the world, including global players. Its secret lies not only in the costs lower by at least 50%, but also in very precisely defined parameters of the service quality, which are explicitly contained in the contract. In the event of a critical error, the time for such error to be reported to the engineer can be as long as 10 minutes.

The second important point is error marking. Software vendors use four error codes: p1 – critical, p2 – very serious, p3 – serious but with lower priority, and p4 – minor errors that do not paralyze the work. The system provider assigns the labels himself. In the case of cooperation with Rimini Street, the customer assigns the problem flag, which completely changes the approach to their importance.

– The transition to the alternative third line of support is associated with a complete change in the way the organization thinks about the website – signals Marcin Stanisławski. – The IT department must be involved in the implementation of the website, which so far has been in addition to cooperation with the supplier, which certainly gives us greater control over emerging problems. Another issue is further cooperation with the supplier, who, as you can easily guess, will do everything to stop us and discourage us from using an alternative service, citing various arguments. For example, Rimini Street service is illegal, which is not true. There is already a Supreme Court judgment in the USA regulating the issue of legality. However, we must be prepared that we will lose the supplier’s rebates or there will be an audit in our organization … Which also and without our departure may take place due to contractual provisions. Despite these restrictions, you can be sure that it will be cheaper anyway.

Towards hybrid IT

Łukasz Kośnik, CEO of RITS, offering IT services for business, points to one more important aspect of cooperation with an ERP system supplier.

– Today, due to the fact that hybrid IT solutions, combining services from their own IT infrastructure (on-premise), colocation and cloud platforms, are becoming more and more common, ERP system providers almost force customers to migrate to the cloud. As a result, the customer pays the second time and gets the same, only in the cloud. If he does not agree, the system provider may even stop guaranteeing its service, which already sounds like blackmail. As a company, we recommend that customers do not choose a cloud system, but an alternative service, such as Rimini Street, which will optimize the costs of maintaining the system, and the savings generated in this way will allow them to spend on light and agile business integrations that are real innovation: in robotization, in document circulation digitization, mashine learning, IoT. This is a smart optimization and the money invested in this way will bring real value to the company. This is the way you think about innovation today. And such innovations are already within the reach of Polish business today.

The ERP (Enterprise Resources Planning) system is a software for comprehensive enterprise management, which covers the control and management of the most important resources and processes in almost every business area of ​​the company, such as: sales, finance, accounting, warehouse, human resources, procurement and production. Its most important distinguishing feature is work on one database. This means that data entered in one area of ​​the system, e.g. in trade, is immediately visible to other users, e.g. at the production manager and in the accounting department.

What's the secret of cooperation with IT Specialists at RITS

Anyone who thinks that cooperation with IT specialists in the case of companies that connect business people with specific IT competences with the needs of clients is only about providing a candidate that meets the company's expectations is wrong.

Anyone who thinks that cooperation with IT specialists in the case of companies that connect business people with specific IT competences with the needs of clients is only about providing a candidate that meets the company’s expectations is wrong. Today, you can expect much more from an outsourcer – comprehensive care over the entire period of cooperation with a specialist and a flexible and professional response to the needs of both parties at various stages of the project implementation. This is the idea behind RITS, in which consultants from the Professional Services department supervise each contract, constantly listening to the needs of specialists and looking for optimal solutions to facilitate mutual cooperation. How does it work in practice?

The Professional Services department started operating in RITS two years ago and completely redefined the position of an IT specialist both in the company and in the relationship with the client. From the object of rent, as is the case on the market, it has become a key element of the contract for us. Taking care of specialists and developing a comprehensive system of cooperation with specialists has become the main assumption of the RITS business.

– We offer our specialists much more than the market – declares Anna Romaniuk, leader of the Professional Services team. – We do not hire specialists for projects, but we have created an entire ecosystem for them, within which we provide them with continuity of work, a system of non-standard benefits on the market and an opportunity for continuous development through professional feedback. All this under the watchful eye of consultants who act as the specialist’s personal tutors.

– Our main task is to meet all the needs of specialists – says Karolina Kowalska, who is one of such consultants. – So that they cooperate with us for a long time and with satisfaction – without unnecessary rotation, which is the problem of many of our competitors.

Continuity of work for specialists is especially important. When a RITS client decides to reduce the workforce, for a specialist it does not have to mean losing the order. The tutor himself looks for a new project for him on the market or within the company. RITS has its own software house at its disposal, so the order may be placed within the company’s structures. It is a big value.

– A good employee is not only a person who feels good in the workplace, but has all the competences to use his potential to the fullest – states Aneta Soboń, consultant in the Professional Services department. Its department organizes various types of training that enable specialists to develop, e.g. as a teacher or verifier of technical skills during the recruitment process of future specialists. Obviously, raising qualifications is associated with a chance for additional remuneration.

– The PS department (shortcut from Professional Services) also deals with agreeing all formal issues that create conditions for trouble-free cooperation – adds Anna Cegłowska, consultant in the PS department. – The guardian organizes, for example, all formalities related to the use of benefits offered to its specialists (see: Benefits in RITS) to simplify their use to a minimum.

WHAT DOES RITS PROVIDE TO ITS SPECIALISTS?

– Support of a consultant from the Professional Services department throughout the period of cooperation, who:

  • verifies the competence of a specialist,

  • introduces a specialist to a new project,

  • takes care of the specialist’s development path,

  • responds to the needs of a specialist,

  • tests satisfaction in work on a given project,

  • gives current and professional feedback on own competences

  • continuity of cooperation – RITS has its own Software House

– Cooperation with a dynamically developing company with a wide range of services

Among the benefits, specialists today find not only medical care or a sports package, but also professional accounting services and insurance against loss of income, which is particularly important in the case of order fulfillment.

Another activity of the PS department is also important – providing valuable feedback from the client with whom the project is implemented.

– Thanks to the feedback, each specialist knows on an ongoing basis how his work is assessed and has a chance to have a real impact on the quality of the contract – says Łukasz Jaworski, who also looks after specialists in the PS department as a consultant. – All this meant that the specialist’s lifetime on the project was significantly extended and the turnover on projects decreased, and clients gained stable teams. – We feel that the services we provide to clients are of the highest quality – says Michał Jaremek, member of the RITS board. – Thanks to this assumption, the business basically builds itself, as a side effect of our main assumption – he adds and admits that today RITS has the transformation of the entire organization and the evolution of body leasing services on the horizon. Instead of providing the client with a basic rental service for 20-50 people (which generates a lot of settlements and formalities), he wants to provide them with a new service for managing the entire process, which gives the client a ready-made solution. The entire candidate service is then on the side of RITS. The customer receives the finished product.

Today I can say that the PS department initiated a change in the structure of the entire company – admits Michał Jaremek. – The introduction of new processes, procedures and standards really changed the entire organization – we unified the scopes of duties, systematized the work, arranged the structure of the organization … Although we took many people out of the comfort zone, they developed a lot. Today, PS integrates all departments in the company and has become a substantive base for them. It was a big change – the evolution of the entire organization. Establishing the Professional Services department was a very good decision!

Polish Programmers worth their weight in gold

Polish programmers have been appreciated by companies around the world for years. The high competences of IT specialists from the Vistula River are evident by the number of specialized IT - shared - service centers established in Poland. Of the 1.5 thousand Polish and foreign centers of the business services sector, nearly half are IT centers (46.5%).

Of the  1.5 thousand Polish and foreign centers of the business services sector, nearly half are IT centers (46.5%). And there would be even more of them, if not due to  the lack of Polish universities educating more of them …  The needs of the market are much higher than the possibilities.

According to the report, „Executive Brief Outsourcing 2019”, prepared by the international consulting company 7N, Poland ranks third in Europe in outsourcing IT services in the nearshoring cooperation model and in the global ranking it’s fifth. The Philippines, India, the Czech Republic and Hungary came ahead of Poland. In total, almost every fourth IT company in Poland provides outsourcing services, and their value is estimated by experts at 8 billion PLN! And, it will grow … As the value of the global IT outsourcing services market is growing. In 2027, it is expected to amount to $ 940 billion, growing 7.7% annually (Grand View Research).It clearly indicates that the IT outsourcing industry around the world has all the potential that Polish IT companies want and consistently use.

– The IT services market in Poland is very mature. Compared it to other popular locations,  such as India, the quality of Polish staff as well as the level of office organization and management is much higher – says Paweł Olejniczak, Vice President and  Member of the Management Board at RITS, which provides IT outsourcing and Team Extention services. – The problem faced by the industry before the pandemic were Polish salaries, which were no longer competitive. The time of the pandemic, however, showed that Poles were able to quickly adapt and thrive  with remote work and continue the implementation of services. We also have a very good quality of teaching in IT, although we are still struggling as with other countries around the globe  with the shortage of IT staff, due to high demand. Last year it was as much as approx. 50 thousand positions.

It is the shortage of staff that makes Poland lose in outsourcing rankings by less than 1 point with the Czech Republic or Hungary. In the „competition” category, the market is less saturated with companies and IT specialists. Polish universities and private programming schools are not keeping up with educating specialists. It is estimated that a comparable number of students, around. 13-14 thousand students, have completed IT studies at universities. Every year, only half are professionally involved in programming. In order to meet the current market demand for IT specialists, at least 10,000  more students would have to complete their IT studies every year in Poland.

The solution to this problem are the services of companies that specialize in providing IT specialists for a specific business order – even in the case of the most niche competences, in a very short time and regardless of the place in the world where the programmer is to work. Szymon Kujawiak, Business Unit Director at RITS, which is one of such examples, declares that sending candidate recommendations at RITS takes two or three days, which makes the process of searching for programmers as short as possible, and cooperation with them is very flexible. Specialists are hired for exactly the period necessary to implement the project and precisely define the competences that the candidate is to have.

Business awareness of the benefits of outsourcing IT services is increasing. This is evidenced by statistics – the propensity to outsource is growing. The data of the polish Central Statistical Office for 2018 shows that almost 71% of companies used at least one IT service provided in this model.

However, there is no shortage of concerns. The most serious concern  is associated with the risk that particular processes transferred to outsourcing companiees will stop working. To prevent this, conducting due diligence of the outsourcing company, thier experience and references in advance, greatly improves chances of finding a perfect match. Clutch is a useful platform (www.clutch.co) as it can verify all references added on the company’s profile by direct contact with their client (by phone or email). Only if the customer confirms the information, the testimonials are published.

The second concern is whether a given specialist will integrate enough with the team. Here, a lot depends on the company that decides to contract, although companies such as RITS support the entire consultant process, providing each specialist with a professional tutor who helps him solve all current issue and HR –  in relation to the new employer.

Finance can be another barrier. IT services outsourcing is not the least expensive, however, it’s worth noting, that when we compared to hiring a specialist  full-time, you should calculate the real  costs that the full-time position generates. Not only social benefits, but also for maintaining the HR or accounting department, turnover, office space, equipment and so on. After taking into account all these elements in the calculation, it may quickly turn out that outsourcing an IT specialist is much cheaper than hiring him full-time.

A few years ago, experts forecasted that the IT outsourcing market in the Managed Service model in 2020 will reach a global level of 230 billion dollars in 2020. Today we know that the forecasts are different. By 2025, the market for this type of services will increase by up to 48%, exceeding its value of $ 329 billion. So what are the advantages and disadvantages of outsourcing? What benefits can our company achieve by using outsourcing? Why not everything should be implemented in the Managed Service model and what cooperation model will be the best for us? These questions are answered in the article below.

What is outsourcing?

In order to consider the advantages and disadvantages of outsourcing and to compare various models of this type of service, you need to define this concept and understand its meaning correctly.

Outsourcing is a long-term assignment of certain functions from the sphere of an organization’s activity to an external company, which allows the organization to focus on its core activities. Therefore, we can outsource virtually anything. There are no restrictions in terms of industry and type of activity, as well as the size of the project. You can commission the implementation of the entire project as well as its stages.

According to the Economic World Summit in the United States and Western Europe, enterprises most often decide to outsource the IT department (30%), human resources (16%), distribution and logistics (14%) as well as accounting and finance (11%). One of the examples of outsourcing of distribution and logistics are activities carried out by Nike, a company dealing in the production of clothing and shoes. To illustrate the scale of its activity, we can use the example that it sells around the world about 25 pairs of shoes per second, earning about 1000 dollars on it. How many factories do they maintain in which they are produced? Round zero. The company does not have any factory, and outsources all processes from the stage of obtaining materials for distribution to stores of finished shoes. We will focus on the industry we know best, namely the outsourcing of IT services.

It is divided into full and selective outsourcing.

Full outsourcing (strategic outsourcing) consists in taking over the entire IT infrastructure of the client or its selected areas. Under this type of contract, some of the client’s employees are often taken over.

Selective outsourcing is a type of service under which the client allows the external company to be given control over selected areas of IT. This includes, among other things, managing selected applications or the network environment.

The most popular types of IT Outsourcing include:

  • computer hardware service,
  • IT infrastructure management and care,
  • implementation of IT systems,
  • hosting,
  • supervision over IT security,
  • human resource outsourcing (which we will focus on).

  • increasing data security,
  • shortening the implementation time of new solutions,
  • more precise cost control,
  • smooth completion of ongoing projects,
  • employment reduction.

Staff Augmentation

Staff Augmentation is a flexible and quick way to attract IT specialists to your team without the need for constant recruitment. An employed specialist becomes a full-time member of the team. In recent years, services in this model have become very popular. “First of all, many companies approach the implementation of their projects on time. They need experienced people for a certain, predetermined period of time to complete the project. There are many reasons for such a sudden expansion of the team. Most often we encounter a situation in which a specialist from the client’s internal team rotates and there is a sudden need to replace him with another employee. Hence the huge popularity of the Staff Augmentation model as an outsourcing service. ” explains Dawid Sztyk Business Unit Director at RITS.

One of the biggest advantages of this solution is time saving. Customers almost immediately receive staff that they can engage in their internal projects. The key thing in acquiring new specialists is the amount of information available to refine the search field. On average, it takes 3 to 5 days to find a new IT specialist. “It also all depends on the specific competency niche. If we do research and see that we have low availability of employees at a certain level of competence, often 3 people in Europe, the search will naturally extend. ” – says Paweł Olejniczak, VP Sales RITS

When recruiting specialists, companies also verify their competences. They match and test candidates and clients to better respond to the needs of both parties. Through many years of cooperation with the developer, you can learn about his experience and style of work to suit a specific project. By omitting the recruitment process, the client is able to maintain the timeliness of the project, and in the case of longer cooperation, optimize costs.

Team leasing is an extensive Staff Augumentration model, where defined teams with strictly defined competencies are delivered. When creating a team, not only the availability of competences is taken into account, but also work methodology. “As RITS, we can provide a team under the designated competences and roles to work directly in the client’s office, provide a team from our office in Poland and Vietnam, or specialists working remotely for the client. The latter option is certainly the most economical, ”says Dawid Sztyk. This is the best model for new initiatives, projects that are in the planning phase. Engaging the entire team reduces fluctuation in the team, which directly affects the timeliness of the order. An experienced Project Manager supervises the progress of the team’s work, coordinating its work on an ongoing basis and consulting with the client in order to make the most important decisions and report on the progress of work.

This solution will work perfectly in a situation where the client has knowledge and the ability to control the progress of the team’s work, but at the same time struggles with the problem of insufficient resources of competences on his board.

Managed Services, also called Outsourcing 360 by some, has recently become more and more popular. This model of holistic outsourcing, which consists in taking over entirely by the company providing such services IT processes related to a specific aspect of the client’s activity. One of the basic benefits that the client receives from the use of Managed Services is access to broadly understood know-how and financial optimization.

Companies are able to optimize costs to the maximum by not having to create a separate structure in the organization. Business fields that are not crucial for the customer or do not bring the expected benefits can be successfully transferred to an external supplier. This frees up many needs, incl. employment of employees by the company.

“The client decides to put some of his activities under the care of a partner. It sets the conditions, defines the indicators by which it will evaluate the partner. As an IT company, we maintain new generation products and we are currently focusing on them the most, and we have given old generation products that still generate income to an external company. This allowed us to maintain a full range of products. The external company took over the complete supervision, i.e. the process of production, implementation and maintenance of old generation products, which are not our priority at the moment „- Krystian Sperka Associate Vice President & Managing Director, INFOGAIN TECHNOLOGIES

One of the most important issues to be determined before starting cooperation with an external company are the roles and responsibilities of both parties. A well-structured service level agreement (SLA) will not only secure the contractor and the customer, but also allow for effective work by regulating, for example, response times, service cycle closing time, response time to an inquiry, etc .;

You should also check the provisions on key quality of service parameters (KPI), e.g. the permissible percentage of deviation from the assumed SLA parameters.

Companies providing Managed Services have very well developed, maintained and secured data centers. Due to constant supervision and large resources of competences, they are better prepared for possible difficulties or random events.

Each of the described models has its unquestionable advantages and limitations. Paweł Olejniczak, however, warns: “What is the core of our business should not be fully outsourced to an external company. Here, Staff augumentation is the ideal model, because we select only the competencies necessary for our activities, and all knowledge remains in our organization ”. If, however, we consider the full transfer of certain areas of our activity, we should consider our managed services. Correctly constructed fields of activity and the obligations of the service provider will allow you to focus your activities on areas that are more important to us.

A special award granted to the RITS team from a Swiss bank

This year, the RITS team received a unique recognition, awarded by a large Swiss investment bank in the competition for the best vendor. A place on the podium with such companies is a great honor for us and proof that there is a place on the market for vendors such as RITS, which consistently builds and secures its place in this market.

This year, the RITS team received a unique recognition, awarded by a large Swiss investment bank in the competition for the best vendor. The „Rising Star of the Year” award is special and initially, the bank did not plan to award it. During the verification of clients, they found that cooperation with RITS – although incomplete due to the short period of engagement – was often better or close to it’s long-term partners. Among their current partners were some of the largest global competitors.

Marcin Stanisławski, Business Unit Director at RITS and Vice President at a company part of the RITS group, talks about RITS’s road to the award and this success.

What does the „Rising Star of the Year” award mean for the RITS team?

– We did not expect this award because we did not work with the client for a full calendar year, so we were very much  surprised, in a positive way. It is all more valuable to us as we were competing with large and global vendors who have been cooperating with this client for many years. A place on the podium with such companies is a great honor for us and proof that there is a place on the market for vendors such as RITS, which consistently builds and secures its place in this market.

In what categories were you judged? How were the winners selected?

– The first criteria is the reaction speed, i.e. the time in which we are able to respond to customer needs. I am referring to both, providing the candidate’s CV and the physical appearance of the specialist at the clients. Here, a lot depends on the speed of document processing. In our case, it may even take only one and a half hours, while in our competition it takes 1-3 days. The secret is in the IT solutions we use. It’s thanks to them that potential employees receive a complete set of information, quickly. This is extremely important criteria because the market is very competitive. The second issue is the effectiveness of our recruitment department. Technical verification of candidates is a time-consuming and difficult process. We focus on online tools which are created by renowned research units, when compared to the classic technical conversation, provide us with standardized results in a short time. In addition, each time we design tests for an individual process, thanks to which are  precise and candidates are willing to take them.

The qualifications of a potential candidate are also important.

– That is why the second criteria, when granting the award is  quality, i.e. how the employees are doing at the customer’s company. We have very unique candidates that haven’t been presented before and whose qualifications are quickly and effectively confirmed. This is where we excel.

How do you do it?

– This is our secret… But I can assure you that the qualification verification system we have developed is unique. Thanks to it, we are able to answer customer inquiries at an unusually high rate. We have a response rate similar to that of  the biggest players on the market – and this is the third criteria when designating the award. And the last category – cost. We really rarely use the client’s maximum budget … As you can see, the client appreciates us for that.

How long do we work with the client?

– We started cooperation in February 2019 and since then we have provided the client with over 20 IT specialists with various qualifications, often niche. Thanks to us our client got a specialist’s  from which they had been searching for, for months.

What’s the secret?

– In our relationship with specialists it’s  important to them that RITS is part of a larger group of companies, so we do not provide only one service with consulting. We have our own software house, and can optimize the costs of software development,  maintenance and automate business processes within in the company. We have numerous partnerships in the technological world. We are a partner of Rimini, DocuSign, UiPath, thanks to which we are able to recommend other reliable and proven organizations. Customer Centric is our medium – the customer is always at the center of cooperation with us.

New threats and new technologies

How does reality become virtual?​ We have been eyewitness to the development of digital technology for many years. We experience more and more that we are a community 2.0. We cannot imagine our functioning without gadgets or solutions, which several years ago were completely foreign to us, even unnecessary. While reading articles on IT development from the early 21st century, we have many predictions that from today's point of view seem to be a figment of human imagination.

Eric Schmidt, then CEO of Google, presented very bold theses about the arrival of the digital age almost 10 years ago. In the book: “The New Digital Age: Reshaping the Future of People, Nations and Business”, he outlined visions of the world in the year 2020: with universal access to the Internet, easy remote communication, changing the way of doing business, storing data in the cloud or e-learning. Until now, these and other visions of development seemed too far-reaching. Nobody, half a year ago, thought that a large proportion of companies and services would use online networks as their primary work tool. Everything changed as soon as the coronavirus pandemic progressed.

The virus, which began to get loud about at the turn of the year, changes the world on various levels. He forced not only scientists from all continents to find a medicine and a vaccine, but also governments and entrepreneurs to radically change their thinking about financial security and liquidity of the economy. The digital era, which Schmidt wrote of extensively, came with the arrival of the threat that he had to face. The ntroduction of remote work procedures and teleconferences as the only source of contact within the organization was unacceptable to most entrepreneurs. The tightening of quarantine in many countries has caused that today 95 percent companies do some work remotely. (Source: CCIFP). The technological advancement of the society meant that the pandemic did not cause a huge economic crisis. His aftermath will probably be felt for many years to come, but the negative effects will spread over the long term. A situation in which we would not be able to flexibly and immediately use the benefits that the Internet provides us would cause isolation of members of society and the liquidation of a huge part of the economy, which include services.

The coronavirus pandemic has significantly accelerated the digitization of companies around the world. It changed the way of thinking about the directions of development of enterprises. It destroyed the investment strategies built over the years and set a new path, that the Internet has become.

The Chinese ideogram of the word crisis means a chance. We should think about how  the world will look after the coronavirus pandemic. In what direction will the development of ICT (Information and Communication Technologies) be aimed? The role and pace of implementing new digitization processes will certainly increase. The development of 5G network projects will become a strategic element of ensuring the security of the global economy and healthcare. We already know that current limited technologies will not be able to satisfy our needs. The largest video streaming services limit the resolution of movies so as not to burden the network bandwidth. Social network remove unnecessary thousands of terabytes of data so that they do not take up space on the servers hosting the site. Everyone agrees on one thing – we need rapid development of online networks not only for our own convenience, but also for our security. The forecasted dynamic spread of habits, which have become a
necessity today, after the epidemic will be a driving force to search for innovative solutions and even faster transfer of many solutions in the company to the Internet.

It makes the world does not stand still despite quarantine.

Speed, access, security

Nearly 80% of the document circulation time take: delivery, analysis and review of contracts. The traditional approach to this process is currently impossible. Signing the documentation by people who cannot meet in person to finalize the transaction will not only lengthen the process, but may lead to a fiasco of talks and failure to sign the contract. By using DocuSign we can radically speed up the process and avoid mistakes. The banking level of security will ensure that documents remain confidential and available only to addressees of correspondence.

DocuSign will not only increase customer comfort, but also eliminates the need for personal contact. Currently, many companies, that offer the sale of services or products, deprived of the possibility to conclude contracts with clients, are on the verge of bankruptcy. Thanks to DocuSign, they can continue to operate independently, and thanks to the solutions used their processes have become more transparent.

Another product offered by RITS is the UiPath robot license, which opens new possibilities for process optimization. This leads to improved service quality, improved speed and minimized costs.

All processes based on repetition of the same solutions that require manual duplication and data comparison can be automated. One can also reduce the possibility of a potential error and improve the security of sensitive data used. The number of industries that record profits after implementing RPA (Robotic Process Automation) is innumerable: fom recruitment processes, bank calculations, sending emails, logistics to medicine.

In the age of coronavirus, using the facilities offered by RPA can help us win against the virus and counter its negative economic effects. Robots are increasingly used to diagnose COVID 19 cases, speed up test execution, or predict epidemic spread. In China, pedestrian traffic on the streets is monitored using UiPath to avoid the risk of coronavirus infection. Many hospitals around the world currently use UiPath to respond to patient inquiries about COVID-19 symptoms.
